ADMINISTRATIVE COORDINATOR

Job Description

JUJIN New York seeks a motivated, experienced administrative coordinator to join our organization. In this position, you will play a key role in streamlining our company's workflow as the link between various departments, employees, and vendors. You will be responsible for creating and maintaining processes, performing bookkeeping and clerical duties, and assisting other employees as needed. This is an opportunity to grow with the organization. This full-time position reports to the Director of Operations who is based in New York.(Role is remote)

RESPONSIBILITIES

  • Perform general administrative, clerical, and executive support tasks to ensure organizational sustainability

  • Work closely with our production facilities and teams in China

  • Assist in the development and implementation of action plans to enable time, resource and process management.

  • Coordinate project meetings including kick-off, team meetings, client meetings, risk assessment, lessons learned, post launch reviews, and others as needed.

  • Drive governance to ensure prioritization of initiatives across critical and urgent business deliverables.

  • Hold internal and external teams accountable for the delivery of commitments, escalate issues as needed

  • Ensure that project, order and delivery timelines are coordinated and managed accurately, via Critical Path Analysis systems to ensure all deadlines are achieved and communicated internally and externally.

  • Ensure project documents are complete, current, and appropriately stored.

  • Collaborate with directors to devise and implement strategic administrative improvements

  • Oversee expenditures and work with the accounting department to manage the company's budget

  • Perform basic bookkeeping tasks as needed

  • Assign work tasks, create schedules, and manage calendars

  • Organize and facilitate workflow to ensure a productive workplace

  • Coordinate with outside vendors and contractors

  • Create reports and prepare presentations,

  • Self-driven, independent thinker, not afraid to challenge the status-quo

  • Fast learner, flexible, able to manage multiple items

  • Ability and agility to shift between strategic and the tactical

  • Excellent communication & time management skills.

  • Speaks another language other than English (preferably Mandarin or French)

OTHER REQUIREMENTS:

  • Bachelor’s degree

  • Minimum of 2 years experience as an administrative coordinator

  • Excellent verbal and written communications skills

  • Advanced proficiency in Microsoft office applications

  • Effective problem-solver

  • Highly organized and detail-oriented

  • Stellar customer service and diplomacy skills
